We offer a flexible menu of services-from full-service management to offering owners to choose only the services they need. Our full service management package includes leasing, marketing, tenant retention, maintenance, budgeting, risk management and accounting services. We understand that effective marketing is essential because vacancy can be your biggest expense. Missoula Property Management will accurately assess your property and customize an aggressive marketing plan designed specifically for your unique needs. As part of your individualized marketing plan, our team conducts a market analysis, reviewing market conditions relative to rent rates and vacancy factors. Our marketing methods include internet presence, print advertising, and signage, a few of which are further explored below.
Web Site and Internet Missoula Property Management's website is our 24-hour/7 days a week information center for current and prospective residents. The site highlights available properties, provides downloads such as rental applications, and easy access to our online payment service. Convenient for both residents moving into the area and locals who prefer the internet for research. In addition, we utilize sites such as Craigslist.com and US West Dex.
Print Advertising Traditional print advertising continues to provide a popular way of finding available rentals. Missoula Property Management maintains a Yellow Pages listing, and runs ads for available properties in the Missoulian Classifieds section. We also maintain an updated Listing Sheet of all available properties that can be provided to walk-ins or people who inquire by email or phone.
Property Signage We post professional, branded signs at each of the properties we manage. Property signage gives prospective tenants confidence knowing the property is being managed by a professional firm, while also providing a convenient form of additional advertising.
The most important step of the entire rental process is the screening of applicants. Missoula Property Management has a well developed, comprehensive process of collecting pertinent and relevant information which ensures qualified residents. Our process also ensures that all applicants are treated equally and fairly. Prior to any applicant being approved as a qualified tenant they are thoroughly screened to ensure their ability to fulfill all terms of their lease.
Credit Check Each applicant is asked to sign a release form allowing us to run a credit and background check. Our leasing agents are trained to read credit reports and assess acceptable credit levels.
Rental History Each applicant is asked to provide names and numbers of at least two years of previous landlords. We contact the landlords and ask several standard questions to ensure the prospective tenant has been reliable and trustworthy.
Income/Employment Verification Each applicant must have sufficient income of at least three times the amount of rent. We verify employment and check bank statements.
Third Party Guaranty In some cases an otherwise acceptable applicant may not have any credit or a previous rental history. In these circumstances, Missoula Property Management offers an opportunity for a fully qualified person to co-sign the rental agreement. The guarantor must have good verifiable credit.
Professional Property Leasing Process
Lease Review After application approval, an appointment is made with the applicant to review and sign the lease agreement. Our leasing agent conducts a detailed presentation of the entire lease agreement, a process which generally takes about an hour. This step is extremely important in educating new tenants of the policies and procedures residents are expected to uphold.
Security Deposits We collect the security deposit at the time of the lease signing and require guaranteed funds. We have found it is most effective to set the amount of the deposit equal to the amount of the monthly rent being charged.
Pet Policy There is a large pool of potential tenants that have pets. The aim of our pet policy is to protect the property owner from damages and collect additional income for added wear and tear. If a client chooses to allow pets on their property we charge a $250.00 pet deposit along with a monthly rent of $25.00.

Tenant retention is a priority as vacancy's cost property owners money. Along with excellent, friendly, and efficient service, we offer our tenants the following to make renting easier:
Automatic Payment Residents have the option to have their monthly rental payment automatically deducted from their checking or savings account at no additional charge.
Debit and Credit Card Payments Our residents can easily pay their rent with their debit and credit cards with no charges to the owner.
Maintenance Follow Up The most frustrating thing for a tenant is to have continual repair problems at the home they are leasing. We follow up every maintenance repair with a comment card to ensure high quality work and tenant satisfaction.
We provide property owners a property inspection process which supplies them with a detailed report on the condition of the property. Our property managers responsible for performing inspections have the expertise to identify and correct any problems or damages before they become a larger and more costly issue.
Move-In Condition Report Our property manager completes a detailed property condition checklist prior to a tenant moving in. They inspect and itemize the condition of all rooms, appliances, garage, and yard. The tenant is granted 7 days from their move in date to provide Missoula Property Management with their statement of the premises for review and approval.
Interim Inspections Missoula Property Management performs interim inspections, to assure tenants are taking care of the property. Owners are advised as to the property condition, as well as our recommendations regarding maintenance, repairs, or future improvements which should be built into the coming year's budget. We offer owners additional inspections for just $25 fee per inspection.
Move-Out Inspections Missoula Property Management performs a final move out inspection-with tenant present-comparing the current condition of the property to the move-in condition report. If we find the cleaning unsatisfactory, we issue a 24 hour "To Do List" for the tenant to complete. We then re-inspect the unit to check that all items have been completed to our standards. If tenant fails to perform the assigned tasks, they are completed by our maintenance department and charged back to the tenant's security deposit.
Missoula Property Management only manages properly maintained properties. You may choose to make maintenance arrangements yourself, or simply include our maintenance services in your management agreement.
Maintenance Services When you choose to include our maintenance services, we will arrange for and manage all general maintenance for your property. We contract general maintenance services with MPM Maintenance LLC. MPM Maintenance is trained to handle most repair work and they strive to do the best job in the timeliest manner. The goal of our maintenance department is to save our property owners from paying high-contracting fees, and the headache of dealing with an occupied property's maintenance issues. Because of the large number of properties we maintain, our maintenance rates are often less than property owners can obtain by independently contracting for maintenance services.
Non-General Services We will contract all other non-general services on your behalf that fall under the dollar limit provided in our management agreement. Before contracting work in excess of that limit, we will obtain your consent. Our rates to coordinate and supervise this work are in addition to property management plan fees.
Full-Service Accounting Department
Our full service accounting department utilizes specialized accounting software designed to track and process all financial transactions related to each property we manage. Comprehensive accounting reports are given to every client at the end of each month, plus a year end summary is given at the end of each calendar year. These reports are detailed and timely, providing each client with the information they need to track the financial progress of the property. We have multiple types of reports that fit your needs. The year end summary is designed to provide the information to make tax preparation easier.
