Services

Community Inspection
A manager will be assigned to your property that will perform regular inspections around all common areas. The manager will provide monthly property status inspection reports.

CC&R Violation Management – Bi-Weekly or As Required.
As we are inspecting the property, we will also be checking for any Rules & Regulations or CC&R violations that exist. Typically, our first notice of violation is a reminder. Second notices are usually sent with a notice of future fine. The third notice carries a fine that is assessed to the account with notification being mailed certified and regular mail. We will continue to inspect and monitor each location to ensure that violations are corrected in a timely manner and also provide a monthly violation status report.

Personnel
The Project Manager dedicated to your Community will have the full support of our extensive resources at our Home Office, including, administrative, marketing, information technology and accounting.

Supervision and Coordination of Maintenance of Common Facilities.
We handle all bid solicitation and preparation for normal maintenance items. We will also provide supervision and direction for all vendors to ensure an open and honest working relationship.

Delinquent Fee Management - Monthly.
Usually the delinquent process for collection of delinquent assessments is pre-set by the Board of Directors and Association documents and we follow your instruction. However, we also provide recommended procedures and notices.

Reserve Funds
We will account for the reserve funds of the Association and coordinate monthly reserve item maintenance and repairs as per the reserve budget and direction of the Board and its advisors.

New Homeowner's Introduction Package Management.
When a unit sells in the community, Ogden & Company, Inc. will send the new homeowner a welcome letter, along with a customized coupon book and return envelopes for their convenience. Also included will be your CC&R’s and Bylaws, Rules for Community Living, and the recent newsletter (if applicable).

Financial Report - Monthly.
Our financial reports are very detailed. We can provide 12 months of activity with actual results year to date and remaining budgeted months. Also included with your Association Report will be detailed reports showing budget variances and explanations.

Budget Preparation - Annually.
Ogden & Company, Inc. will prepare an annual Operating Budget and Reserve Spending Budget for Board review and approval and assist in presentation and distribution to all homeowners, if applicable. This budget will be prepared and submitted as per your calendar guidelines.

Attendance At Board Meetings.
We will attend regular (max, monthly) Board of Directors meetings and one annual meeting per year. We will also offer normal, special or annual meeting coordination and committee assistance.

Homeowner/Board of Directors Follow-Up
We will follow-up on all calls, requests and/or concerns within a 24-hour period excluding weekends and holidays unless an emergency situation arises. An answering service will be used for after hour calls.

Maintenance and Association Records and Files
Ogden & Company, Inc. will maintain all association records and files for all owners, vendors, board/homeowner correspondence, etc.

Newsletters
For an additional fee, we will prepare and distribute a customized newsletter to all members.

Legislative Compliance
Federal, state and local laws – Ogden & Company, Inc. will, to the best of its ability, stay current with all federal, state and local laws to ensure that your HOA is in compliance with such laws, i.e. House Bill 2495.

Insurance/Bond Coverage
We will be able to provide the necessary insurance and bond coverage’s as specified in your Management Company qualifications.

We will also assist in seeking legal representation, insurance reviews, income tax and year-end audits.
