Trenton Property Services, Inc. is one of the oldest and largest community management companies in the Baltimore Metropolitan area. We have been in business for more than 25 years and manage over 80 communities and over 18,000 units.

Community Association Management

Company History:

Trenton Property Services, Inc., (TPSI) is a local, closely held corporation, established in 1977. We have been in the business of property management for over twenty years. The 1970's was the infancy period for associations, and TPSI has the experience dating back to this time. TPSI has grown to be one of the largest management companies in Central Maryland, currently managing over 15,000 units, by specializing in association management. We specialize in management of condominium associations, homeowners associations, financial management of communities, large scale master community associations. We also have a portfolio of shopping centers, office buildings, and warehouse buildings. TPSI is a licensed real estate brokerage, although sales make up no part of our business. We are members in good standing of the Community Associations Institute, Harford County Chamber of Commerce and the Maryland Board of Realtors.

Staff:

TPSI employs over twenty people; of these, ten are property managers. The remaining staff members make up our clerical and maintenance staff. Our staff has a broad range of experience and qualifications. Our staff has a broad range of experience and qualifications. Additionally, our managers have and continue to earn professional accreditation from CAI, the national organization for community associations. The property managers are on call for your property 24 hours a day, and each property manager has a company car phone and pager. Our company has one of the best property managers to property ratios in the industry, which enables your property manager to attend to the details of your property. Our manager's knowledge allows them to provide informed knowledge on all aspects of Association management including, but not limited to, financial matters, association law, landscaping, and foremost, effective communication with the residents.

Should the residents have an emergency after hours, they will have access to the property manager through our 24-hour answering service answered by a real human, not a voice mail. Billing Methods

TPSI has the flexibility to accommodate the particular billing needs of each of our client communities. At the discretion of the Board, we will collect a community's assessments on a monthly, quarterly, semiannually, or annual basis. The billing function can be performed using monthly mailed statements, coupon books or EFT's.

FINANCIAL MANAGEMENT (Bookkeeping / Accounting)

  • Billing and Collection.
  • Monthly disbursements.
  • Maintain monthly statement of receipts and disbursements, and delinquent accounts. Information given monthly to President and/or Treasurer.
  • Pursue collection of delinquent accounts.
  • Consult with the Association's attorney for pursuit of delinquent accounts.
  • Prepare an annual suggested operating budget.
  • Prepare, or cause to be prepared, tax returns.
  • Administer funds accounts.
  • Prepare monthly & annual financial statements.
  • Accept all calls regarding financial matters of the association.
  • Maintain current list of unit ownership: names, addresses, etc.

GENERAL MANAGEMENT

  • Provide a continuous answering service and accept all calls regarding the business of our client communities.
  • Attend:
    • Board Meetings
    • Special Meetings
    • Annual Meetings
  • Prepare required notice for general meetings.
  • Investigate complaints from association members.
  • Pursue and obtain bids for services from contractors.
  • Obtain three (3) or more bids, when possible, for jobs that are $3,000.00 in value.
  • Maintain all files.
  • Administer association's building and liability insurance.
  • Coordinate the Association's legal proceedings with association's counsel and appear in court if necessary.
  • Administer the ongoing day-to-day operations of the Association, to include all correspondence, site visits and projects follow-up
  • Prepare and administer contracts.

Rental Association Management

Due to strong demand from our existing clients, we have launched a rental management division. The rental management division will handle all aspects of your investment property. TPSI will assist you in managing your real estate and help you preserve your investment with ease and convenience. Our services can cover all aspects of your real estate, including but not limited to; marketing the property for rent; screening the applicants; writing leases; renewing leases; collecting security deposits and rental payments; handling collection of past rent; servicing and maintaining the property & if necessary handle evictions. Pool Management

Our sister pool management company Clearwater Management allows TPSI to handle your pool management needs seamlessly rather then subbing it out to an outside vendor. You and your property manager will have direct contact with the pool management company's administration by simply walking a few feet to pool management office.
