Salisbury's Systems & Solutions provides Property Management services for Condominium, Homeowner, Estate, and Townhouse communities throughout Macomb and Oakland County.

Salisbury's Systems & Solutions, LLC We have extensive experience in transitioning self-managed communities and changes in management. In addition, we are skilled at minimizing costs by attacking problems and solving them while they are still small. Finally, we work with a large network of reliable and efficient service providers who are ready to assist you; although, we are always happy to work with existing service providers that are currently in use.

Below are the services that are included in our $7 per unit, per month fee. This fee can change based on the number of units and any amenities the Association has to offer.


ADMINISTRATIVE MANAGEMENT

Board & Annual Meetings--Schedule, attend, and record meeting minutes. Prepare and send meeting notification. Collect proxies to establish quorum (goal: to hold an official Annual Meeting on the 1st attempt.
Communications--Neighborhood directories, newsletters, calendar of events, flyers, and web sites. Assist the Association in writing, preparation and distribution.
Governing Documents--Interpretation of By-Laws, CCR'S, and all governing documents. Create matrix and guidelines for easy "at a glance" rules and regulations.
Maintain Files--Maintain files for Association invoices, contracts, and important maintenance records, e.g., last painted, last asphalt sealing, last roof job, etc. Maintain individual owner files with correspondence, repair history, statements, violations, modification requests, etc.
Meeting Preparation--Create and prepare meeting documentation which includes an agenda, financial reports, bids, and other documentation the Board requests.
Resident Interaction--Take and record phone calls regarding any aspect of the community e.g., possible violations, questions, comments etc.
Rules & Regulations Amendment Preparation-- Assist in preparing for potential amendments to governing documents. Explain necessary steps and cost effective solutions prior to seeking an attorney. (*Additional cost; not included in standard rate)
Welcome Package--Mail a welcome package to all new residents/homeowners that includes introduction of current board members and the new management Firm, important information (Board and Annual Meeting dates, dues/fees due date and late fee structure), matrix and guidelines, most often used forms (modification requests, suggestion form, violation form, pool rules, clubhouse rental form etc.)

FINANCIAL MANAGEMENT

Accounting--Review invoices prior to submission for payment; compare to estimate or proposal to verify accuracy.
Annual Budget--Create and present a balanced budget.
Billing & Collection--Collect and process Dues/Fees and incorporate our "3 step" delinquency process to keep attorney fees at a minimum.
Fidelity Protection--Make sure the monies and property of the association are handled legally and properly by licensed and bonded personnel.
Financial Planning--Determine reserves needed for short-term and long-term capital investment growth. Reserve account with absolutely no fees or penalties for removing money early.
Financial Statements--Prepared monthly and reflects all income and expenses in an easy-to-understand format. Provided 1 week prior to Board Meeting's to allow ample time for review.
Reconciliation--Monthly reconciliation of banking and reserves accounts.

PROPERTY MANAGEMENT

24-Hour Emergency--After hour's answering service for emergency situations.
Bids--Schedule and meet with service vendors to obtain a minimum of 3 bids for each service the Association uses.
Licensing & Reporting--File required yearly corporate information forms with the State of Michigan. Maintain compliance with City and County departments regarding pools and fire equipment.
Modification Requests--Review and forward requests submitted by residents/homeowners.
Status Letters & Questionnaires--Provide status of owner account with a request from title companies for owners who are selling or re-financing their home.
Violation Notices--Create and mail violation notices. First notice is a written warning and all subsequent notices will follow governing documents guidelines for fines. Notice includes a paragraph that allows resident/homeowner to contest notice; following proper protocol.
Weekly Drive Through--Perform weekly inspection of common areas to determine repairs and/or improvements. Visual inspection of resident/homeowner lots to confirm compliance of all governing documents rules and regulations.
