Listing and Leasing
  • We utilize real time rental market prices to determine the rental price so the unit will lease quickly but at the best rental price possible
  • We advertise through our management software which sends the listing to all major real estate/rental/apartment finding websites (Realtor.com, Trulia, Apartments.com, etc.)
    • We also advertise on Facebook Marketplace 
  • We vet all applicants through our impartial application process
    • Applicants send in application online or paper application in person, only form used is the Texas Realtors approved form
    • Background check is completed through a national tenant vetting company, and applicants are scored from 0-100.  This system checks credit history, rental history, and criminal history.  This is the best system we have found because we don't get the actual credit report so we cannot discriminate based on any information found there.  This protects the owner as well as our company
    • We verify all application information to include employment, income via 3 recent paystubs, and rental history with previous landlords
    • We do have automatic applicant approval guidelines which doesn't require any owner involvement but there are situations where the applicant doesn't quite meet the automatic approval standards and we will take that specific case to the owner for approval
    • We have very high standards for our approved tenants, and this has resulted in an extremely low eviction rate; the only tenants we have ever had to file an eviction on were tenants that we inherited from previous management companies
      • In the event of an eviction, we do handle the entire process through the court system
  • The only lease forms used are Texas Realtors approved forms and therefore have already been attorney vetted to withstand legal challenge
Tenants
  • The vast majority of our tenants do everything online via a user-friendly tenant portal
    • They can pay rent online, submit maintenance requests with pictures, chat with us, and sign all lease documents electronically
    • This has a high effect on tenant retention because our process is easy for them, and they appreciate how we adapt to changing technology
  • We do have some tenants that aren't as technologically inclined, and we accommodate them with paper documents and physical rent checks
  • Any tenant issue is handled by one of our two office staff members
    • This means that the staff is familiar with the tenants and properties, and we can provide a more personal approach than the very large companies
Maintenance 
  • We have a list of vendors that we choose from based on the maintenance issue that we have been using for a long time and have been pleased with their work
    • Any major plumbing, electrical, or HVAC work is done by a licensed contractor
    • Some minor tasks like electrical outlets, light issues, toilet/sink issues can be handled by a handyman to save costs
  • Any repair over $300 will result in a call to the owner for their approval and general awareness (this threshold amount can change based on the owner's preferences)
  • We send out reminders for common maintenance items such as HVAC filters and steps to take when there is a major storm or freezing temperatures
Money
  • We handle all the money for the owner 
    • All rent is collected and then paid out through us
    • All maintenance costs are paid through us
    • Tenant security deposits are held by us in a separate account as required by law
  • Owners are paid on the 10th of the month regardless of the day of week
    • All owner payouts are done electronically to the bank account provided to us 
    • Owners are provided a detailed owner financial statement on the 10th, a sample is attached
    • Owners are provided a property update report on anything that happened at their property for that month
  • Owners receive a year end statement that includes all financial information for their properties for that calendar year
  • Owners receive a 1099 in January for tax purposes
Fees/Commissions Paid
  • The commission to lease a property is 50% of one month's rent total regardless of number of showings or if another agent brings the tenant 
    • There is no cost when a tenant renews a lease, only when an initial lease is signed
  • There is no up-charge on maintenance or repairs
    • The only time an up-charge would occur is if we are acting as a general contractor for a major remodel and we have already agreed upon this with the owner; this is a very rare circumstance
  • The management fee is 10% of the total monthly rent collected
    • If an owner has a large number of units (10+) and/or purchases six or more properties through Rose Ranch Realty we would consider negotiating a lower management fee
