General Services:
Board Relations: Meet with the Board of Directors periodically to review financial reports and discuss upcoming goals and projects for the association.
Declaration & Bylaws: Review, interpret, and modify the Association governing documents in accordance with the Board of Directors' objectives.
Rules & Regulations: Guide the Board with the development or update of Rules and Regulations along with enforcement procedures.
Annual Meeting: Prepare Agenda and coordinate notices as per Florida Statute requirements. Mail proxies, post agenda, attend meetings as needed, and prepare minutes of meetings
Legal: Facilitate legal counsel assistance in appropriate matters. Ie: Collections, suits, etc.
Projects: Finalize projects as needed by the association being the liaison between vendors and the Board of Directors, remediate violations, execute improvement plans, etc.
Accounting: The association’s bookkeeping and accounting will be in charge of GEM Realty Solutions, and producing monthly financial reports as part of this service agreement. We will assist and provide all the needed information for the yearly reports to the CPA of the board Choosing.
Banking: Facilitate counsel and interaction with different banks as needed.
Collections: We will implement and enforce collections of monthly assessments and other charges such as Special Assessments and forward accounts to the collection attorney as needed.
Applications: Handle and process purchase and rental applications gathering all required documentation.
Budget: Preparation of the annual operating Budget of the association, This will be reviewed and approved by the Board at a duly notified meeting every year.
Invoices: Review all vendor invoices issued to the association and prepare payment with the Board’s approval. Provide copies of all invoices paid as needed.
Preventive Maintenance: Provide a preventive maintenance program for the buildings, grounds, landscaping and common elements.
Vendor Supervision: Supervise of routine and special projects conducted in the property before paying.
Life Safety: Preparation of annual fire code inspection if required.
Inspections: The Association Inspector will conduct inspections on a monthly basis on association common areas including property grounds, equipment, and other facilities.
